EventPlanners ("we," "us," or "our"), developed by WellSmart Automations, operates the EventPlanners mobile application (available on Google Play) and the website at www.eventplanners.app. This Privacy Policy explains how we collect, use, store, and protect your information when you use our services.
When you create an account we collect your name and email address (provided via Google Sign-In or manual entry), an optional phone number you may choose to add, and an optional profile photo. If you sign in with Google, we receive your name, email address, and profile picture from your Google account.
When you create events we collect event details such as title, date, venue name, and venue address; guest names and WhatsApp phone numbers that you enter; RSVP responses submitted by your guests; custom questions and answers you configure; and seating arrangements and budget information you enter.
Photos and videos uploaded by you (the event host) or by your guests through the gallery feature are stored on our servers. All uploaded images are automatically compressed to WebP format for optimal storage and delivery. Videos are transcoded to 720p MP4 format. We strip EXIF metadata from photos except orientation data, which helps protect the privacy of photo subjects.
We automatically collect device type and operating system version, a Firebase Cloud Messaging token for push notifications, app usage analytics (via Firebase Analytics) including screens viewed and features used, and crash reports for improving app stability. We do not collect precise GPS location data. Guest location information shown in the Live Guest Tracking feature is based solely on the city or area text that guests voluntarily enter during RSVP.
All payments are processed by Google Play Billing. We do not collect or store your credit card number, billing address, or other payment instrument details. We store only the purchase token, product ID, and transaction amount for our records.
We use the information we collect to provide, maintain, and improve the EventPlanners service; create and deliver event invitations and manage RSVPs; store and display event photos and videos to authorized viewers; send push notifications about RSVP responses, guest uploads, and event reminders (when you enable these); process payments through Google Play Billing; generate AI-powered invitation text via the AI Writer feature; provide customer support; and detect and prevent fraud or abuse of the platform.
If you are located in the European Economic Area or United Kingdom, our legal bases for processing your data are: Contract performance — processing necessary to provide you with our service; Legitimate interests — improving our service, preventing fraud, and sending service-related communications; Consent — for optional features like marketing notifications, which you can withdraw at any time through Settings.
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
With event guests: Guest names and RSVP responses are visible to the event host. Photos marked as "public" are visible to other accepted guests of the same event. Guest names may appear on invitation web pages when personalized links are used.
With service providers: We use third-party services that process data on our behalf, as described in Section 5 below. These providers are contractually obligated to protect your data and use it only as we direct.
For legal compliance: We may disclose data if required by law, court order, or governmental regulation, or to protect the rights, safety, or property of EventPlanners, our users, or the public.

The app may request the following permissions: Camera — to take profile photos or event photos directly; Photo/Video access — to select media from your gallery for upload; Internet — required for all app functionality; NFC (optional) — to share invitation links via NFC tags; Notifications — to send push notifications about RSVPs and reminders. You can manage all permissions in your device Settings at any time.
All data is stored using Google Firebase infrastructure, primarily in data centers located in the region configured by the platform operator. Data is encrypted in transit using TLS 1.2+ and at rest using AES-256. Firebase Security Rules enforce strict access control ensuring users can only read and write their own data. Media files are cached on Cloudflare's global CDN network, which may involve data transfer to servers in various countries. By using our service, you consent to the transfer of your data to these locations.
We retain your data for as long as your account is active. Event data (including galleries, guest lists, and RSVP responses) is retained until you delete the event or your account. Archived events retain all data until explicitly deleted by you. When you delete your account, all associated data — including events, photos, videos, guest information, and purchase history — is permanently removed from our systems within 30 days. Anonymized, aggregated analytics data may be retained indefinitely for service improvement.
You have the right to access your personal data through the app's Profile and Settings screens; correct inaccurate data by editing your profile or event details; delete your data by removing individual events or your entire account; export your guest list data via CSV export (paid tiers); and withdraw consent for optional processing such as marketing notifications.

If you are a California resident, you have the right to know what personal information we collect and how it is used, request deletion of your personal information, and not be discriminated against for exercising your privacy rights. We do not sell personal information as defined by the CCPA.
EventPlanners is not intended for use by children under the age of 13 (or 16 in the EEA/UK). We do not knowingly collect personal information from children. If we discover that a child has provided us with personal information, we will delete it promptly. If you believe a child has provided us with their data, please contact us.
Our web invitation pages use essential cookies and local storage only for functionality such as remembering RSVP status. We do not use third-party advertising cookies or cross-site tracking. Firebase Analytics in the Android app collects anonymous usage data; you can limit this by adjusting analytics settings on your device.
We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the "Last updated" date. For material changes, we may also send a push notification through the app.
